1. About This Policy
Wellness Next Step LLC ("we," "our," or "us") respects your privacy. This Privacy Policy explains what information we collect, why we collect it, how it is used, and the choices available to you.
This policy applies to the Wellness Next Step website (wellnessnextstep.com) and all experiences connected to it, including Find My Next Step, Your Next 7 Days, and Her Next Step.
Legal entity: Wellness Next Step LLC, registered in North Carolina, United States.
Mailing address: 5960 Fairview Road, Charlotte, NC 28210, United States.
2. Information We Collect
Account Information
When you create an account, we collect:
- Your email address — used for login, communication, and account identification.
- A password — stored in encrypted form by our platform's authentication system. We cannot see your password in plain text.
- Your account role (member or administrator) and registration date.
If you sign up using Google, Google shares your email address and basic profile information with us through their secure authentication process. We do not receive your Google password.
Consent Records
When you create an account, we record whether you agreed to the Terms of Use, acknowledged this Privacy Policy, and whether you opted in to marketing emails. This includes the type of consent, the date, and the version of the policy you agreed to.
Contact Form Submissions
When you use our contact form, we collect your name, email address, and the message you write. This information is sent to our team by email and is not stored in a database.
Website Analytics
We use analytics tools to understand how visitors use our website. This may include:
- Pages visited and time spent
- General geographic region (country-level)
- Device type and browser
- Traffic source (how you arrived at the site)
Website analytics data is not used to identify you personally unless it is connected to your account. See Section 9 (Cookies, Analytics and Tracking) for details.
3. Wellness Information You Choose to Share
Some information you voluntarily share through assessments, check-ins, and reflections may relate to your health, wellness, and personal experiences. This may include information about sleep, energy, stress, mood, movement, nutrition, and lifestyle patterns.
What categories are collected: Sleep and recovery, energy, strength and movement, nutrition, stress and daily rhythm, clarity and confidence, mood, and optional reflection notes you choose to write.
Why they are collected: To create your starting profile, personalize your experience, and help you track what works for you.
How they support your experience: Your responses shape which focus areas are recommended, what content is shown during Your Next 7 Days, and what next steps are suggested.
Whether they are stored with your account: Yes. Assessment responses and Your Next 7 Days responses are stored in association with your account or email address.
Who can access them: Currently, only the owner/administrator of Wellness Next Step LLC has administrative access to member assessment and check-in information. We do not currently grant access to coaches, support staff, contractors, or community moderators. If this changes in the future, this policy will be updated before any new role receives production access to member wellness information.
Whether automated or AI systems process them: See Section 7 (AI and Automated Systems) for details.
How long they are retained: See Section 11 (Data Retention) for details.
Wellness Next Step does not medically analyze this information. Some of it may be personal, but it is not automatically labeled as medical information.
4. Find My Next Step
Find My Next Step is a short guided assessment with 12 questions. When you complete it, we save your answers to create your Wellness Next Step starting profile.
The information collected includes:
- Your responses to 10 wellness questions about sleep, energy, movement, nutrition, stress, and clarity
- Your self-selected priority — the area you choose as most important to you right now
- Your starting style — how much change feels manageable to you
Your responses are processed by a rules-based scoring system (not artificial intelligence) to calculate:
- Primary focus — the general wellness area that may deserve your attention first
- Secondary focus — something else worth keeping an eye on (if applicable)
- Starting style — how much change feels realistic for you right now
This profile helps personalize your experience in Your Next 7 Days and Her Next Step. The assessment does not diagnose, screen for disease, determine hormone status, identify medical causes, or create medical recommendations.
Your assessment answers are also saved in your browser's local storage so you can resume if you leave and return. Clearing your browser data will remove this saved progress.
5. Your Next 7 Days and Her Next Step
Your Next 7 Days
Your Next 7 Days is a seven-day guided experience. If you choose to enroll, we use your email address to send you a daily reminder email that brings you back to the experience.
During the experience, we may store:
- Your daily mood check-ins and observations
- Actions you choose to try
- Whether you chose to keep, adjust, or change your approach
- Barriers you identify and adjustments you make
- Support factors that help you
- What you decide to keep practicing and what you choose to release
- Optional free-text reflections you choose to write
- Your final next-step selection
This information is used to maintain your progress, support later parts of the experience, and provide a summary of your journey when you complete the seven days. These records are not medical records.
If you provided email consent during enrollment, we send daily reminder emails. You can stop these emails at any time without losing your progress on the website.
Her Next Step
Her Next Step is a daily check-in and next-step experience. To participate, you create a Wellness Next Step account using your email address and a password (or by signing in with Google).
After creating your account, Her Next Step currently guides you into the Your Next 7 Days experience described above. The information collected through Her Next Step is the same information described in the Your Next 7 Days section.
Her Next Step does not currently operate as a separate system beyond Your Next 7 Days. If this changes in the future, this policy will be updated.
Sleep Assessment
We also offer a sleep assessment that asks about your sleep experiences, energy, movement, nutrition, and what may be making things harder. Your responses are used to provide a general recommended starting point. The sleep assessment uses rules-based recommendations, not artificial intelligence. It does not diagnose sleep disorders or medical conditions.
6. How We Use Information
We use the information we collect to:
- Create and manage your account
- Operate the website and deliver the services you request
- Save your assessment results and maintain your progress
- Calculate your starting profile and personalize your experience
- Send you service-related emails you have requested (such as Your Next 7 Days reminders)
- Send marketing or promotional emails, only if you have separately opted in
- Respond to your support requests and questions
- Improve our content, services, and website functionality
- Understand how visitors use our website through analytics
- Protect the service from abuse and unauthorized access
7. AI and Automated Systems
- Find My Next Step scoring: Your responses are processed by a rules-based scoring system — not artificial intelligence. The logic is predefined and does not use machine learning.
- Sleep Assessment: Uses rules-based recommendations, not artificial intelligence.
- Your Next 7 Days and Her Next Step responses: Your wellness responses are saved to your account and are not currently processed by AI systems for analysis or personalization.
- Content generation: We may use AI-assisted tools to help generate internal marketing content such as blog articles and newsletters. These tools do not process your individual wellness responses or personal data.
If we later introduce AI processing of member wellness information, this policy and appropriate disclosures will be reviewed before that processing is activated.
Wellness Next Step is not a medical diagnosis system. AI-assisted guidance, if any, is not medical diagnosis, medical treatment, emergency care, or a substitute for an appropriate licensed healthcare professional.
8. Email Communications
Service / Transactional Email
These are emails necessary to operate the service you requested. They include:
- Account verification (one-time passcode during registration)
- Password reset emails
- Your Next 7 Days daily reminder emails (only if you enrolled and provided email consent)
- Important account or service notices
- Account deletion request confirmation and completion notices
You cannot opt out of transactional emails while your account is active, because they are necessary to operate the service.
Marketing Email
These are promotional or educational emails sent to people who have separately opted in. They may include newsletters, educational tips and resources, and product or service announcements.
Creating an account does not automatically subscribe you to marketing emails. Taking Find My Next Step, joining Your Next 7 Days, or using Her Next Step does not automatically subscribe you to marketing emails.
Marketing consent is collected through a separate, optional checkbox during registration. It is not pre-selected. You can opt out of marketing emails at any time using the unsubscribe link in any marketing email.
Email Services We Use
We use Google Workspace (Gmail) for ordinary business communications and SendGrid for applicable system, transactional, and marketing email delivery. SendGrid receives your email address and the content of emails sent to you, but does not store your wellness responses.
9. Cookies, Analytics and Tracking
We use cookies and similar technologies for authentication, essential functionality, and — with your consent — analytics and advertising. For full details, see our Cookie Policy.
Cookie Consent
When you visit our website, you will see a cookie consent banner with three options:
- Accept All — enables analytics and marketing cookies
- Reject Non-Essential — only essential cookies are used
- Manage Preferences — choose analytics and marketing individually
Optional analytics and advertising tracking does not run until you grant consent. Essential cookies are always active and cannot be disabled.
Google Consent Mode v2
We use Google Consent Mode v2. By default, optional tracking categories are denied until you make a choice. The consent signals include analytics storage, ad storage, ad user data, and ad personalization.
Google Tag Manager
We use Google Tag Manager (container ID: GTM-K2J7VM9) to manage tracking tags on the website. Google Tag Manager respects your consent choices — tags for analytics and advertising only fire after you grant consent.
Google Analytics 4
We use Google Analytics 4 to understand aggregate website usage, such as page views, sessions, and traffic sources. Analytics data is processed at an aggregate level and is not used to identify you personally unless connected to your account.
Meta Pixel
We use Meta Pixel (Pixel ID: 1282057683814448) for website analytics and advertising measurement. Meta Pixel is consent-gated — it only loads after you grant marketing consent. There is a single Meta Pixel installation; no duplicate installation exists.
Google Search Console
We use Google Search Console to understand search performance. This is an SEO tool and does not track individual visitors.
Local Storage
We use your browser's local storage to remember your progress in Find My Next Step and Your Next 7 Days. Local storage is not a cookie and does not track you across sites. Clearing your browser data will remove this saved progress.
10. How Information May Be Shared
We do not sell your personal information.
We may share information with service providers who help us operate the platform. Current third-party providers include:
- Base44 — provides website hosting, authentication, database storage, and platform infrastructure. Account information, assessment responses, and enrollment data are stored on Base44's servers.
- Google — provides Google Workspace/Gmail (for business communications), Google OAuth (for sign-in with Google), Google Tag Manager, Google Analytics 4, and Google Search Console.
- SendGrid — provides email delivery for transactional and marketing emails. SendGrid receives your email address and the content of emails sent to you.
- Meta — provides consent-gated website analytics and advertising tracking via Meta Pixel. Meta receives limited browsing data (such as page views and events) only after you grant marketing consent.
We do not currently use Stripe or any other payment processor on the public Wellness Next Step website. If payment functionality is introduced on this website in the future, this policy will be updated before launch.
We do not use Pinterest tracking on this website.
We may disclose information when required by law, legal process, or to protect the rights, property, or safety of Wellness Next Step LLC, our members, or others.
11. Data Retention
Account-linked wellness data: When you confirm an account deletion request, we begin the deletion process promptly. Your identifiable assessment responses, check-ins, reflections, and program-progress information associated with your account will be deleted or de-identified no later than 30 days after your request. See Section 13 for details.
Consent records: Minimal consent history (consent type, status, policy version, and date) may be retained to document what you agreed to and when. Your email address is removed from consent records during the de-identification process. Wellness responses are not retained inside consent records.
Aggregate / de-identified analytics: Information that has been genuinely aggregated or de-identified may remain as non-identifiable analytics.
Third-party processor records: Records maintained independently by third-party processors (such as SendGrid or Meta) are subject to their own retention policies. We do not make claims about their retention practices unless verified.
12. Your Choices
You have the following choices regarding your information:
- You can update your account information by logging in to your account settings.
- You can delete your account through your account settings (see Section 13).
- You can opt out of marketing emails at any time using the unsubscribe link in any email.
- You can manage cookie preferences through the cookie consent banner or your browser settings.
- You can clear your browser's local storage to remove saved assessment progress.
- You can contact us about privacy concerns at privacy@wellnessnextstep.com.
13. Account and Data Deletion
You can delete your Wellness Next Step account at any time through your account settings page. The deletion process requires intentional confirmation:
- Open Account Settings and select "Delete My Account."
- Review the explanation of what happens when your account is deleted.
- Type "DELETE MY ACCOUNT" to confirm.
- Confirm by checking the acknowledgement box and pressing confirm.
When you confirm deletion:
- Your account access is closed immediately.
- Your marketing email eligibility is withdrawn immediately.
- We begin the deletion process promptly. Your identifiable assessment responses, check-ins, reflections, and program-progress information will be deleted or de-identified no later than 30 days after your request.
- Consent records are de-identified rather than automatically destroyed, so we can document what you agreed to and when.
- Lead records linked to your account are deleted.
- A minimal deletion request record is created to track the process (request date, scheduled completion date, status, and completion date). This record does not contain your wellness responses.
- A confirmation email is sent when your request is received, and a completion email is sent when the process is finished.
Some limited information may be retained when reasonably necessary for consent history, security, fraud prevention, or other applicable recordkeeping purposes.
We do not claim that all information is immediately erased. The 30-day period is the maximum time for deletion or de-identification of account-linked wellness data. Browser-stored information (local storage) may require you to clear your browser or site data separately. If you need assistance, contact support@wellnessnextstep.com.
14. Information Security
We take reasonable measures to protect your information using platform-level security, including encrypted authentication and role-based access controls. Currently, only the owner/administrator of Wellness Next Step LLC has administrative access to member assessment and check-in information.
However, no method of transmission or electronic storage is completely secure. We cannot guarantee absolute security.
Wellness Next Step is not a HIPAA-covered entity and does not claim HIPAA compliance or HIPAA certification. Wellness-related information is still treated responsibly, but HIPAA terminology does not apply.
15. Age and Children's Privacy
Wellness Next Step is intended for women age 40 and older. However, a target audience is not the same as a legal minimum age.
The legal account eligibility age for Wellness Next Step is 18 years old. By creating an account, you represent that you are at least 18 years of age.
We do not knowingly collect personal information from children. If you believe a child has provided information, please contact us so we can remove it.
16. International Visitors
Wellness Next Step LLC is based in North Carolina, United States, and primarily serves users in the United States. If you access the service from another country, your information may be processed in the United States and by service providers used to operate the service.
We do not currently claim compliance with GDPR, UK GDPR, or other international privacy laws. If we intentionally serve users in those jurisdictions, international compliance will be reviewed.
17. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date and version number at the top of this page. If material changes are made, we will provide notice through the platform or by email.
